Personio publishes no list prices. Here is what market reports and buyer accounts say, which line items sit alongside the per-employee price, and how to read a quote before you sign it.

How much does Personio cost per employee?
Personio publishes no public price. It sells on a quote: the figure comes out per employee per month and depends on your headcount and on which modules you buy. Market reports and buyer accounts put entry bundles at roughly EUR 5 to 8 per employee per month, rising well above that once recruiting, performance or payroll preparation are included. The per-employee figure is only part of the bill, though. A one-off setup fee is usual, so is a twelve-month minimum term, and so is paying for the whole year upfront. For a hundred-person team that means a first-year commitment in the mid to high four figures, due in one payment rather than monthly. If all you want to manage is leave and absence, you are paying for a complete HR suite to get one module. Every figure here is a market estimate; only the quote Personio gives you is authoritative.
Why there is no price on the website
Personio sells on a quote, and that is a deliberate choice rather than a missing page. The price depends on three variables at once: your headcount, the modules you buy and how long you commit for. Because every combination lands on a different number, the company publishes no table.
For a buyer that means two things. First, you cannot work the cost out reliably before the first call, and every number online, including the ones on this page, is an approximation. Second, the price is negotiable, particularly on a longer term or a larger headcount. Accepting a quote without a competing quote is not negotiating.
The line items that add up to the annual figure
The per-employee price is the one everybody asks about, and usually not the one that breaks a budget. These four points decide what the first year actually costs.
| Line item | How it works | What reports say |
|---|---|---|
| Price per employee | Monthly, depends on bundle and headcount | About EUR 5 to 8 at entry, more with modules |
| Setup fee | One-off, for implementation and data migration | Widely reported, amount varies |
| Minimum term | A commitment you cannot exit during | Twelve months is usual |
| Payment terms | Annual prepay rather than monthly billing | Annual prepay is usual |
| Modules | Each additional module raises the per-head price | Recruiting, performance and payroll prep cost extra |
Worked examples at 50, 100 and 250 employees
The table takes the reported EUR 5 to 8 per employee per month range and extends it over a year. The setup fee is not included, because no reliable figure is reported for it; it lands on top in year one.
Time-Out Zone sits alongside at $4 per user per month, billed annually, with no setup fee. This is not a like-for-like comparison: Personio is a full HR suite and Time-Out Zone is leave management. If you want to consolidate all of HR, the larger figure is justified. If you want to manage leave, you are paying for modules you will not open.
| Employees | Personio at EUR 5 | Personio at EUR 8 | Time-Out Zone at $4 |
|---|---|---|---|
| 50 | EUR 3,000 / year | EUR 4,800 / year | $2,400 / year |
| 100 | EUR 6,000 / year | EUR 9,600 / year | $4,800 / year |
| 250 | EUR 15,000 / year | EUR 24,000 / year | $12,000 / year |
What makes a quote larger than expected
Three patterns come up repeatedly in buyer accounts, and all three can be settled before you sign.
- Modules that sound included in the conversation but are billed separately. Ask for one quote with absence management only and one with everything, then read the gap.
- The headcount in the contract often acts as a floor, even if the team shrinks. With seasonal staffing that is a real line item.
- The setup fee is not always in the first draft of the quote. It is negotiable, especially if you handle the data migration yourself.
Questions to take into the quote call
These six questions get you a number you can compare, rather than one that sounds good.
- What is the price per employee per month, and which modules does it include?
- What is the setup fee, and specifically what does it deliver?
- How long is the minimum term, and is billing annual upfront or monthly?
- Does the headcount act as a floor, and what happens if the team shrinks?
- How does the price move at renewal, and can we agree a cap?
- What does it cost to add a module later, and to drop one?
When the suite price is worth it and when it is not
Personio is an excellent platform, and for the right need the price is fair. That need is wanting recruiting, onboarding, digital personnel files, document management, performance and payroll preparation with a DATEV interface from one vendor. Measured against five or six separate tools, a suite is cheaper, not dearer.
That need is not wanting to run leave requests, balances and approvals properly. For that you pay a suite price for breadth and get less depth than a specialist offers. If your blocker is layered entitlements, conditional approval routing or per-field auditability, the signal is clear.
Personio publishes no list prices. Every figure on this page is an estimate drawn from market and buyer reports, accurate as of 2026 and subject to change. Only a quote from Personio is authoritative. The Time-Out Zone price is the published Professional plan.
Frequently asked questions
- How much does Personio cost per employee per month?
- Personio publishes no list prices. Market reports put entry bundles at roughly EUR 5 to 8 per employee per month, higher with more modules. Only the quote you receive is authoritative.
- Does Personio charge a setup fee?
- A one-off setup fee for implementation and data migration is widely reported. The amount varies and is negotiable, particularly if you handle the data migration yourself.
- How long is the Personio contract term?
- Twelve months is usual, with payment for the full year upfront. That matters for cash flow: the annual figure falls due in one payment rather than monthly.
- What does Personio cost for 100 employees?
- On the reported EUR 5 to 8 per-head range, 100 employees works out at roughly EUR 6,000 to 9,600 a year, plus any setup fee. That is an estimate, not a quote.
- Is there a cheaper alternative for leave management?
- For leave and absence specifically, yes. Time-Out Zone is $4 per user per month billed annually, with no setup fee, from 20 users. It does not replace an HR suite; it replaces the absence module inside one.
- Is Personio pricing negotiable?
- With quote-based models it generally is, especially on a longer term, a larger headcount, or when you hold a competing quote. Without a competing quote you are not negotiating.
