PTO tracking is more than an absence calendar: accrual logic, real-time balances, and, in the US, payout compliance per state. Six tools compared honestly, sorted by what they can actually calculate.

Comparison of the best PTO tracking software in 2026

What is the best PTO tracking software in 2026?

It depends on whether 'tracking' means a calendar or actual math. Calendars plus simple balances are common: Vacation Tracker and Day Off start free, Timetastic stays deliberately simple. It gets serious with accrual logic: credit per period, proration at hire and exit, carry-over with expiry, payout documentation at separation. BambooHR and Personio calculate as HR suites (quote-based or with minimums), Calamari modularly. Time-Out Zone is the specialist for that math: three grant models (lump sum, accrual, hybrid), five carry-over strategies, real-time balances, an audit trail, and ten report types including a payout report, from $1.50 per user with a 25-user minimum. Not a paid ranking: every tool is listed with its strength and its limit.

    Where PTO tracking actually fails

Not at the calendar, at the math. PTO balances come from rules: credit per month or pay period, proration at hire and exit, carry-over caps with expiry dates, tenure tiers. Every rule a tool cannot model becomes a manual correction. And manual corrections are why nobody trusts the balances anymore.

In the US there is a compliance layer on top: some states treat accrued vacation as earned wages (payout required, use-it-or-lose-it prohibited). A tracker that keeps balances and history clean is the basis of every correct final paycheck. Our state-by-state payout table is linked below.

The lightweight trackers: Vacation Tracker, Day Off

    • Vacation Tracker: approvals in Slack/Teams, free entry point; accrual logic and carry-over sit in the Complete plan.
    • Day Off: free up to 10 users, native apps; entirely sufficient for simple PTO policies, not built for accrual tiers.

    The suites: BambooHR, Personio, Calamari

    • BambooHR: PTO tracking as part of the US HR suite, solid standard policies; from ~$10, $250/month minimum, US hosting.
    • Personio: EU HR suite with absences as a module, aligned with German employment law; quote-based with a setup fee.
    • Calamari: PTO plus attendance, modular; strong when time clocking is needed anyway.

Time-Out Zone: built for the math

Time-Out Zone treats PTO as what it is: a calculation with an audit requirement. Three grant models (lump sum, day-accurate accrual, hybrid), five carry-over strategies with expiry dates, tenure tiers, per-location holidays, and balances that update in real time. The payout report documents remaining balances at separation, as the basis for payroll, not a payroll replacement.

From $1.50 per user per month, 25-user minimum, EU hosting in Frankfurt. If all you need is a calendar, the lightweight trackers serve you better.

    How to choose

    • Simple PTO policy, small team: Day Off or Vacation Tracker.
    • PTO as part of an HR suite: BambooHR (US) or Personio (EU).
    • Accrual logic, carry-over, payout documentation, audit: Time-Out Zone.

    Frequently asked questions

What separates PTO tracking from a vacation calendar?
The balance math: accrual per period, prorated credits, carry-over with expiry, and documentation at separation. The calendar is the easy part.
Does PTO tracking software replace payroll?
No. Good tools document balances and payout bases as exports for HR and finance. The payment itself runs through payroll.
    Is this a paid ranking?
No. No vendor pays for placement; the ordering follows fit, price, and honest limits.
