From blank field to booked day

The employee adds one field, their birth date, and the rest is automatic: each night the system checks for birthdays and books an approved day off for everyone whose day it is. No date on file? A setup reminder goes out instead, throttled so nobody gets nagged.

Approved before breakfast

The nightly job creates an approved one-day request on the employee's birthday. It lands in their time off like any other approved day.

One field powers it

All the automation needs is a birth date on the profile. Employees add it themselves; nothing else is collected.

No request, no queue

Nobody has to remember to ask for their own birthday. The day is granted without a request and without an approver touching it.

Reminders, not silence

Tagged employees without a birth date get a setup reminder email instead of quietly missing out.

The fine print, handled

Your company's timezone

Birthdays are matched in the company timezone, so the day lands on the actual date, not the server's.

February 29 covered

Leap-day birthdays are granted on February 28 in non-leap years. Nobody waits four years for a day off.

Weekends included

The day is recorded even when the birthday falls on a weekend or holiday, so the record stays complete.

A normal request record

Every grant is a standard approved request: visible in history, reporting, and the audit trail.

The automatic grant is always one day. Values in the visuals are examples.

Nightly

How the grant works

Once a night, the system finds birthdays and books the day.

  • Everyone with the birthday tag, automation on, and a birth date on file gets an approved one-day request on their birthday.
  • The grant is exactly one day, recorded on the birthday itself, weekends and holidays included.
  • Each grant reconciles the leave type's balance, so records and numbers stay in step.

Reminders

The missing-date path

The automation never fails silently.

  • Tagged employees without a birth date receive a setup reminder email pointing at the exact profile field.
  • Reminders are throttled to once per 14 days per person, so the nudge never becomes noise.
  • The employee adds the date once, self-service, and the next birthday is covered.

Manual mode

Prefer requests? Turn it off

Automation is a choice, not a requirement.

  • With the toggle off, the same tag still unlocks the birthday leave type, employees simply request the day themselves.
  • The request follows the normal approval chain, like any other leave.
  • Switch modes any time; the tag and the leave type stay the same.

Frequently asked questions

What is birthday leave?
A perk where employees get a paid day off on their birthday. In Time-Out Zone it is a personal entitlement tag: assign it to a group, and either the day is granted automatically or employees request it themselves.
Is there a legal right to a day off on your birthday?
No. Neither US federal law nor German law grants a birthday off, it is a voluntary company perk, which is exactly why it needs a policy and a system rather than a promise.
What if an employee has no birth date on file?
Nothing is granted, instead the employee gets a setup reminder email, throttled to once per 14 days. As soon as they add the date to their profile, the automation covers the next birthday.
What about people born on February 29?
In non-leap years the day is granted on February 28. Leap-day birthdays never fall through the cracks.
Can employees request the day manually instead?
Yes. Leave the automation toggle off and the tag simply unlocks a birthday leave type that employees request through the normal flow, approvals included.
