Half the week goes to admin

60%

of HR time goes to administrative work instead of strategy

audit rows per CSV export, straight from the profile

  • Benchmarks put the median share of HR time spent on administration at 60%. A big slice of it is hunting for data: which policy applies, who approves, how many days are left.
  • Time-Out Zone keeps all of it on one profile — and the Inheritance tab explains the "why", so nobody has to reverse-engineer a spreadsheet.

APQC Open Standards Benchmarking, "Percentage of HR time spent on administrative work" (median value).

From a table row to the whole person

Click any row in the People table and the full profile opens on the spot — no page hopping, no separate system.

One modal, the whole person

Team, policy, approver, location, start date, work schedule, balances, and upcoming leave — together on the Main tab.

The why behind every number

The Inheritance tab walks the chain: person, tag, team, department, location — and marks the winning rule with an Effective badge.

An HR file that keeps itself

Contracts, IDs, and certificates live on the profile in private storage, reachable only through expiring links.

Every change, remembered

Each profile carries its own audit trail: who changed what and when, filterable and exportable as CSV.

Details that do the work

Balances employees recognize

Carried Over, Allocated, Additional, Used, Remaining — the same formula employees see on their dashboard, so there is one truth.

Tags that change entitlements

Assign a tag on the profile and policy segmentation follows — replacement or additive, clearly labeled.

Lifecycle without confusion

Pending Invite, Active, Inactive: an invited placeholder is never mistaken for a deactivated account, and access actions sit one menu away.

Profiles drive the math

Start date and work schedule live here and feed waiting periods, anniversary cycles, and how days are charged.

Personal entitlement details (birthdate, religious observance) are opt-in and marked as PII; employees manage them in My Account.

Profile

The Main tab carries the day

Employee records management without the records room.

  • Org assignments — team, department, policy, approver, location — in one grid, with pickers to change them on the spot.
  • Balance cards, national holidays, outstanding requests, and upcoming leaves, all live.
  • Start date and work schedule are set here — and the leave math follows them.

Clarity

The why behind every number

Inheritance made visible.

  • Policies resolve in a strict order: person beats tag, tag beats team, down to location.
  • The Inheritance tab shows the whole chain for policy, holidays, tags, and approver — with an Effective badge on the winner.
  • When someone asks "why do I have 28 days?", the answer is a tab, not an investigation.

Ownership

Admins configure, people own their identity

Role-honest access on every profile.

  • Admins edit assignments, documents, tasks, and access; every change lands in the audit trail.
  • Managers open the same profile read-only — enough to lead, not enough to meddle.
  • Employees manage their own name, photo, job title, and opt-in personal details in My Account; teammates see only a minimal availability preview.

Frequently asked questions

What is on an employee profile?
Six tabs: Main (assignments, start date, work schedule, balances, requests), Inheritance (which policy, holidays, tags, and approver apply and why), Audit Trail, Documents, Tasks, and Sick. Time-Out Zone opens it straight from the People table or team views.
Who can edit an employee profile?
Admins edit assignments, documents, tasks, roles, and access, with every change audited. Managers view profiles read-only. Employees edit their own name, photo, job title, and opt-in personal details through My Account. Time-Out Zone enforces these roles on the server.
Can employees see each other's profiles?
No. Colleagues see only a minimal teammate preview: name, team, job title, and whether the person is out today. Full profiles stay with admins and, read-only, with managers. Time-Out Zone keeps personal data scoped to the people who need it.
Where do profile documents live?
In private storage, scoped to your company, uploaded by admins — contracts, IDs, certificates up to 10 MB each. Access happens only through short-lived signed links that expire on their own. Time-Out Zone never exposes a public file URL.
Is this an employee database?
For everything leave-related, yes: assignments, entitlements, balances, documents, and a complete change history per person. Time-Out Zone is employee database software built around absence — not a full HRIS, and honest about that difference.
