Company holiday calendars that match every location

Maintain reusable holiday sets by country and year, assign them to locations (or override per team), and let request day-counting skip those days so a public holiday never eats a vacation day.

Why location-aware calendars matter

8

average paid holidays per year for US private-industry workers

81%

of US private-industry workers have access to paid holidays

9-13

statutory holidays in Germany, depending on the federal state

11

US federal holidays in a typical year

  • The number of non-working holidays is not universal. Bavaria observes more than Berlin; US private averages sit below the federal list. One company calendar forces the wrong days on someone.
  • Holiday sets per location keep entitlement and planning honest: the same leave request charges only the working days that apply where that employee sits.

Named sets, not per-employee lists

A holiday set is a named list of non-working days for a country and year. Maintain it once and assign it to every location that shares those days.

Import national holidays

Pull public and regional holidays for a country and year from Calendarific, preview them, then import the ones you need instead of typing dates by hand.

Holidays never charge the balance

When a request spans a holiday in the effective set, that day is locked as a skip in the request modal and is not deducted from the leave balance.

Team calendar when the location is not enough

A team's explicit holiday set overrides the location set, so a team that follows a different calendar stays consistent without rewriting every profile.

The details, spelled out

One set, many locations

Assign the same holiday set to every office that shares a country calendar. Delete is blocked while locations still use it.

Recurring dates roll forward

Mark a holiday as recurring annually and Time-Out Zone projects the month-day into the current year when the set is linked. Non-recurring company days still need yearly review.

Preview before you commit

The import preview filters public vs regional, lets you select rows, and skips duplicates that already match name and date.

Visible on the employee dashboard

Upcoming holidays and a full-year national holiday summary use the employee's effective set, with an honest empty state when none is linked.

Values in the visuals are examples. Import uses Calendarific via a server proxy.

Structure

Holiday sets instead of per-employee upkeep

One shared calendar per geography.

  • Create a set with a name, country, and year, then add public, company, or regional holidays.
  • Assign the set to locations; one set can serve many offices.
  • An employee's effective calendar is the team override if present, otherwise the calendar on their effective location (employee, then team, then department).

Import

Import once, review, done

National lists without spreadsheet copy-paste.

  • Choose country and year, fetch from Calendarific, and review the preview with public holidays pre-selected.
  • Import selected rows as recurring by default; same name and date pairs are skipped.
  • Edit the set afterward for company-specific days the API does not know about.

Day counting

Holidays never eat a vacation day

Working-day math respects the calendar.

  • Request day counting in working mode skips holidays and non-working weekdays.
  • The request modal pre-locks those days so employees cannot charge them.
  • The company work week is configurable, so weekend definitions stay aligned with how you actually work.

Frequently asked questions

Can I set different holidays per location?
Yes. Each location inherits the holiday set assigned to it, so offices in different countries or states see the correct non-working days. Time-Out Zone resolves the effective set from the team override first, then the employee's effective location.
Are holidays deducted from the leave balance?
No. If a requested day falls on a holiday in the effective set, it is locked as a skip and is not charged against the balance in Time-Out Zone.
Can I import public holidays?
Yes. Admins import from Calendarific for a country and year, preview the list, select rows, and skip duplicates that already match name and date before anything is saved.
Do holidays update automatically every year?
Recurring holidays roll forward by month and day when the set is linked for the current year. Time-Out Zone does not re-fetch the API every year, and one-off company days still need a yearly review.
Can an employer set company-wide shutdown days (Betriebsferien)?
Labor rules on company shutdowns vary by country and contract. In Time-Out Zone you can model shutdown days as company-type holidays on a set, so they skip day counting like public holidays once assigned.
How should we plan around bridge days (Brueckentage)?
Bridge days between a holiday and a weekend are planning language, not a separate holiday type. Put the public holiday in the set so it never charges leave, then employees request the bridge working days as normal time off in Time-Out Zone.
